How to use this page
Please use the chart below to see current travel advisories and which guidelines you should follow if your client’s booking is impacted. Below the chart are instructions that should always be followed when processing a change or cancellation. This section also includes guidance on when a ticket must be rebooked to waive the fee and/or difference in fare. There are steps for air-only, Groups and WestJet Vacations bookings.
These instructions are based on the guidelines in effect for that advisory. Be sure to verify which guidelines are in place and any differences or exceptions that need to be noted before following the process.
IMPORTANT: If your client’s flight is delayed more than three hours, a delay results in a missed connection or the flight is cancelled, please follow our flight disruption/irregular operations (IROP) guidelines. You may review your client’s flight details on our Flight Status page to confirm if it meets the criteria above.

Flexible change/cancel guidelines
Air-only bookings: WestJet and groups
WestJet air-only bookings will be allowed a one-time change or cancellation for no fee if they follow the guidelines in the chart as well as meet the terms and conditions below:
- All fare bundles are eligible, including UltraBasic. Please see booking channel processes below for UltraBasic fare guidelines.
- Changes or cancellations must be requested more than 2 hours prior to departure (excludes same day changes). For changes or cancellations within 2 hours of travel, regular change and cancel fee rules apply.
- Changes:
- If your client is changing to the same destination or a geographically close airport (within 320 kilometres/200 miles) and at least one segment is departing within 60 days of the original departure date, the difference in fare is waived and no change fee will be charged. The exchange must be completed by the date in the chart. UltraBasic fares are eligible to follow these guidelines.
- If your client rebooks the same destination or a geographically close destination and wishes to travel after 60 days from their original departure date, no change fee will be charged but the difference in fare will apply. The exchange must be completed by the date in the chart. UltraBasic fares are eligible to follow these guidelines.
- Your clients may book a new destination for no fee, but the difference in fare will apply. The exchange must be completed by the date in the chart. UltraBasic fares are eligible to follow these guidelines.
- No blackout dates apply.
- Cancellations:
- Depending on the booking channel, non-refundable fares (excluding UltraBasic fares) will remain as an open ticket for 13 months from the first coupon date or returned to Corporate Travel Bank.
- UltraBasic fares are eligible for a change for no fee until the date in the chart. After this date, UltraBasic fares can remain as an open ticket for 13 months and should follow Econo fee and fare rules. Please see booking channel processes below for UltraBasic fare guidelines.
- Refundable fares may be returned to original form of payment or remain as an open ticket for 13 months from the first coupon date.
- Any portion paid with WestJet points, Travel Bank credit or a WestJet Rewards companion voucher will be returned to your client’s account and the original expiration date (if applicable) will apply.
- If your client cancels their booking, any portion paid with WestJet points or a WestJet Rewards companion voucher that has expired or is expiring within 60 days will be reinstated with a new expiry date 60 days from the date of reinstatement.
- Bookings are eligible if they are issued on WestJet 838 ticket stock. Flights must be wholly marketed or operated by WestJet, including Encore.
IMPORTANT: Please ensure you follow the below or the booking will be subject to an Agency Debit Memo (ADM) for the full value of the ticket and an ADMIN fee up to $50.00 local currency per ticket.
- Cancellations:
- Non-refundable fares will remain as an open ticket for 13 months from the first coupon date (excluding UltraBasic fares). Regular fare rules apply when reissuing after the date in the chart.
- UltraBasic fares are eligible for a change for no fee until the date in the chart. After this date, UltraBasic fares can remain as an open ticket for 13 months and should follow Econo fee and fare rules.
- Refundable fares may be returned to original form of payment or remain as an open ticket for 13 months from the first coupon date. Regular fare rules apply when reissuing after the date in the chart.
- Changes:
- Changes must be completed by 11:59 p.m. MT on the date in the chart. If they are processed after this date, regular fare rules and applicable fees. Please ensure you follow this date or you will be subject to an ADM.
- For UltraBasic fares: Changes must be completed by 11:59 p.m. MT on the date in the chart. After this date, Econo fees and fare rules apply when rebooking.
- For round-trip journeys, at least one segment must depart within 60 days of the original departure date to have the difference in fare waived.
- There is no need for you to call to receive a waiver code if your client would like to change or cancel. Complete the change to the booking in your GDS and enter the waiver code FLXTRVADV into the endorsement field to waive the fee and/or difference in fare. (excluding UltraBasic – please see below for process).
- This waiver code can only be used when processing a change or cancellation by the date in the chart.
- Waiver codes entered into the Tour Code, Ticket Designator or any other field will not be honoured and will result in an ADM.
- UltraBasic fares:
- For changes made by the date in chart: Complete the change in your GDS and enter the waiver code FLXTRVADV into the endorsement field to waive the fee and/or difference in fare.
- For changes made after the date in the chart: Enter the waiver code FLXTRVADV into the endorsement field when reissuing the ticket. Econo fees and fare rules apply.
- Rebook in the original class of service in the same cabin by the date in the chart.
- For UltraBasic (A, E), Econo (L, K, T, X, S, N, Q, H) and EconoFlex (M,B,Y), if the original class of service is not available, rebook at the next highest fare class up to and including Y class.
- For Premium (R, O) and PremiumFlex (W), if the original class of service is not available, rebook at the next highest fare class up to and including W class.
- For Business (D, C) and BusinessFlex (J), if the original class of service is not available, rebook at the next highest fare class up to and including J class.
- If a seat is not available in the same cabin, you will need to select a different flight.
- Commission:
- For refundable fares, if your client chooses to cancel all flight segments on the booking and receive a refund, commission will be recalled.
- If your client only partially cancels their booking (e.g., one segment), the commission on the remaining segments will be protected.
- Cancellations:
- Refunds must be completed by 11:59 p.m. MT on the date in the chart. Refunds completed after this date are subject to regular fare rules and applicable fees.

Enhanced flexible change/cancel guidelines
Air-only bookings: WestJet and groups
WestJet air-only bookings will be allowed a one-time change or cancellation for no fee if they follow the guidelines in the chart as well as meet the terms and conditions below:

- If your client rebooks the same destination or a geographically close airport (within 320 kilometres/220 miles) and wishes to travel after 60 days from the original departure date, no change fee will be charged but the difference in fare will apply. The exchange must be completed by the date in the chart to waive the change fee. UltraBasic fares are eligible to follow these guidelines.
- Your clients may book a new destination for no fee, but the difference in fare will apply. The exchange must be completed by the date in the chart to waive the change fee. UltraBasic fares are eligible to follow these guidelines.
- If your client rebooks to a lower fare, the residual will be refunded. Please see booking channels below for the process.
- No blackout dates apply.

- The funds will be refunded to the original form of payment or may remain as an open ticket for future use (including UltraBasic fares).
- Any portion paid with WestJet points, Travel Bank credit or a WestJet Rewards companion voucher will be returned to your client’s account and the original expiration date (if applicable) will apply.
- If your client cancels their booking, any portion paid with WestJet points or a WestJet Rewards companion voucher that has expired or is expiring within 60 days will be reinstated with a new expiry date 60 days from the date of reinstatement.
- Bookings are eligible if they are issued on WestJet 838 ticket stock. Flights must be wholly marketed or operated by WestJet, including Encore.

- There is no need for you to call to receive a waiver code if your client would like to cancel. Use the waiver code ENFLTRVADV in the refund waiver code field when processing the refund. This waiver code may be used for UltraBasic fares.
- Changes:
- Changes must be completed by 11:59 p.m. MT on the date in the chart. After this date, regular fare rules apply. Please ensure you follow this date or you will be subject to an ADM.
- UltraBasic fares: Changes must be completed by 11:59 p.m. MT on the date in the chart. After this date, Econo fees and fare rules apply when rebooking.
- For round-trip journeys, at least one segment must depart within 60 days of the original departure date to have the difference in fare waived.
- There is no need for you to call to receive a waiver code if your client would like to change. Complete the change to the booking in your GDS and enter the waiver code ENFLTRVADV into the endorsement field to waive the fee and/or difference in fare (excluding UltraBasic fares – please see below for process).
- This waiver code can only be used when processing a change or cancellation by the date in the chart.
- Waiver codes entered into the Tour Code, Ticket Designator or any other field will not be honoured and will result in an ADM.
- UltraBasic fares:
- For changes made by the date in chart: Complete the change in your GDS and enter the waiver code ENFLTRVADV into the endorsement field to waive the fee and/or difference in fare.
- For changes made after the date in the chart: Enter the waiver code ENFLTRVADV into the endorsement field when reissuing the ticket. Econo fees and fare rules apply when rebooking.
- If you rebook your client and the new fare is lower, you will need to refund the original ticket using the waiver code ENFLTRVADV to the original form of payment and issue a new ticket at the lower fare.
- Rebook in the original class of service in the same cabin by the date in the chart.
- For UltraBasic (A, E), Econo (L, K, T, X, S, N, Q, H) and EconoFlex (M,B,Y), if the original class of service is not available, rebook at the next highest fare class up to and including Y class.
- For Premium (R, O) and PremiumFlex (W), if the original class of service is not available, rebook at the next highest fare class up to and including W class.
- For Business (D, C) and BusinessFlex (J), if the original class of service is not available, rebook at the next highest fare class up to and including J class.

Hurricane/tropical storm guidelines
Effective December 11, 2024
To simplify our travel advisory guidelines and make it easier to support our shared clients, the Hurricane/Tropical Storm policy is no longer in use. If a hurricane or tropical storm is occurring in a destination, either our flexible change/cancel or enhanced change/cancel guidelines will be in effect.
